A school duty rota sets out where supervision is needed, when it runs and how many staff are required. What information belongs in a duty rota?
Start with the requirement, not a list of names. Define a local time band, location, weekday and staffing level for each duty. A location needing two people still has an open position when only one is assigned.
Use names that staff can recognise without further explanation. For example, an illustrative rota might distinguish the main gate before school from the main playground at morning break. The school decides the appropriate staffing level; the software records that decision rather than determining supervision policy.

How do assignments and volunteering work?
Duty Managers allocate eligible staff to positions, and eligible staff can volunteer for open duties. In Cover Manager, the Duty Manager capability is separate from the lesson-cover role; administrators and headteachers also have management access.
Check the difference between a manager assignment and a voluntary commitment. Staff should know who can change either one and what cancellation restrictions apply. A viewable rota is useful, but the school still needs to explain its expectations for checking and carrying out duties.
What happens when an assigned member of staff is absent?
An overlapping absence submitted in Cover Manager releases affected duty assignments and records an operational event. The rota can then show a gap that needs attention without copying private absence reasons into the duty information.
A rejected or withdrawn absence does not silently put the original person back on the duty. A manager reviews whether restoring the assignment is still appropriate and whether capacity and conflicts allow it. When session clock times are not reliable, same-day overlap handling is conservative, so check the actual times before resolving uncertainty.
Can you copy a duty rota into another week?
Cover Manager separates recurring duty requirements from dated staff assignments. Its weekly copy action reuses assignments in another week, while checking the destination dates for normal eligibility, capacity and availability conflicts.
Review the copy result rather than assuming every assignment transferred. A colleague who was available last week might be away next week. Skipped positions remain work to resolve. Managers can also copy an individual assignment to matching duties later in the same week.
What should the weekly duty check include?
Review open positions and exceptions before sharing the weekly sheet, then revisit absence-related changes during the week. A printed rota reflects the state when it was generated; it is not a live notification system or proof that a duty was attended.
- Check every required position, including slots needing more than one person.
- Review skipped copies and date exceptions.
- Resolve releases caused by staff absence.
- Make the current printout identifiable and communicate later changes.
- Keep attendance confirmation separate if the school needs it.
